Your privacy

This notice explains how Waylaid collects, uses and protects your personal data when you visit our website, get a quote or hire a car — and the rights you have under UK data-protection law. We have written it in plain English and we will never sell your data.

In short: we only collect what we need to give you a quote, take your booking and provide the car safely and lawfully. We keep it secure, share it only with the partners who help deliver your hire, and you can ask to see, correct or delete it at any time.

1. Who we are

Waylaid Mobility Ltd ("Waylaid", "we", "us", "our") is the data controller for the personal data described in this notice. We are a company registered in England & Wales under company number 12876543, with our registered office at 14 Kingsway, Holborn, London WC2B 6LH. 2. What we collect

We collect only the information we need to provide our service. Depending on how you use Waylaid, that may include:

  • Identity & contact details — your name, email address, phone number and billing address.
  • Booking details — your chosen pickup hub, drop-off airport, dates, vehicle class and any additional drivers.
  • Driver & eligibility data — your driving licence details, date of birth and, where needed, a DVLA check code to verify your record and insure you.
  • Payment data — card details are processed securely by our payment provider; we do not store full card numbers ourselves.
  • Correspondence — messages, enquiries and support requests you send us, including via our contact and complaints forms.
  • Technical & usage data — your IP address, device and browser type, and how you use our website, collected through cookies (see section 9).

3. How and why we use it

We only use your personal data where we have a lawful basis to do so under the UK GDPR. The main bases we rely on are:

  • Performance of a contract — to give you a quote, take and manage your booking, verify your eligibility to drive, provide the vehicle and handle returns, payments and refunds.
  • Legitimate interests — to run and improve our business: securing our vehicles, preventing fraud, recovering fines or tolls, providing customer support, and analysing how our website is used (in ways that do not override your rights).
  • Consent — to send you marketing such as route deals by email, and to set non-essential cookies. You can withdraw consent at any time, for example by unsubscribing or changing your cookie choices.
  • Legal obligation — to meet our obligations as a vehicle-rental company and registered keeper, for example responding to authorities about fines or accidents.

4. Who we share it with

We never sell your personal data. We share it only with trusted partners who help us deliver your hire, and only with the information they need:

  • Insurers — to provide the CDW and theft cover included with your hire and to handle any claim.
  • Payment processors — to take payment and any deposit securely.
  • Airport partners — to manage collection and drop-off at the airport desks we operate from.
  • Service providers — IT, hosting, customer-support and roadside-assistance partners who process data on our behalf under contract.
  • Authorities — the DVLA, police or local authorities where the law requires, for example regarding fines, tolls or an accident.

5. How long we keep it

We keep your personal data only for as long as we need it for the purposes set out above. Booking and hire records are generally kept for the duration of your hire and for a period afterwards to meet our legal, accounting and insurance obligations — typically up to six years, in line with UK tax and limitation requirements. Marketing data is kept until you unsubscribe or ask us to stop. When we no longer need your data, we securely delete or anonymise it.

6. Your rights under UK GDPR

You have a number of rights over your personal data. You can ask us to:

  • Access a copy of the data we hold about you.
  • Rectify data that is wrong or incomplete.
  • Erase your data where we no longer have a reason to keep it.
  • Restrict or object to how we use it, including for marketing.
  • Port your data to another provider in a usable format.
  • Withdraw consent at any time where we relied on it.

To exercise any of these rights, just email hello@Waylaidcarhire.co.uk — it is free and we will respond within one month. If you are unhappy with how we handle your data, you have the right to complain to the UK's supervisory authority, the Information Commissioner's Office (ICO), at ico.org.uk — though we would always appreciate the chance to put things right first.

7. Security

We take the security of your data seriously. We use appropriate technical and organisational measures — including encryption in transit, access controls, and trusted, contractually bound service providers — to protect your information against loss, misuse and unauthorised access. Payment-card data is handled by PCI-compliant payment processors. No system can be completely secure, but we work hard to keep your data safe and review our measures regularly.

8. International transfers

We aim to keep your personal data within the UK and the European Economic Area (EEA). Where any of our service providers process data outside the UK or EEA, we make sure appropriate safeguards are in place — such as the UK International Data Transfer Agreement, the UK Addendum to the EU Standard Contractual Clauses, or transfers to a country the UK government recognises as providing adequate protection — so your data continues to be protected to UK standards.

9. Cookies

Cookies are small text files placed on your device when you visit a website. We use them to make our site work, to remember your preferences and to understand how the site is used so we can improve it. Strictly necessary cookies are always on; analytics and preference cookies are only set with your consent, and you can change your choices at any time through your browser settings or our cookie controls.
